Administrative Assistant

Due to FLEXSPACE’s rapid growth, we are seeking to hire an energetic, detail-oriented, organized individual for a full-time Administrative Assistant role. The primary responsibility of the Administrative Assistant is to provide daily support to the organization.

The ideal candidate will be responsible for the daily functions surrounding the office. They will have a strong ability to multitask in a fast-paced environment. This position also requires strong organizational, communication, and time management skills. Also, able to work independently on multiple tasks while functioning as the office go-to personnel.

 

Primary Responsibilities:

 

  • Greeting visitors upon entry

  • Purchasing, organizing, and reconciling office expenses for snacks, beverages, kegerator, cleaning products, office supplies, etc.

  • Monthly payments for office-related bills

  • Regularly checking mail

  • Oversee online and in store UPS accounts (billing, shipping, and receiving)

  • Scanning and sending invoices to appropriate departments

  • Maintaining a high level of cleanliness for common areas including kitchen, stairwells, conference rooms, and breakrooms

  • Serve as intermediate contact for 3rd-floor tenants and HOA

  • Building preventative care and maintenance

  • Coordinating pest control

  • Monitoring incoming phone calls

  • Maintaining building safety under fire marshal direction

  • Coordinating travel for personnel as needed

  • Must be detail-oriented and professional

  • Exceptional communication skills with proficiency in Microsoft Office suite.

  • Flexible and adaptable in various situations and when interacting with many different personalities.

  • Assist the HR Department with the execution of culture-related activities (birthdays, work anniversaries, social and philanthropy events)

  • Bilingual - English/Spanish speaking a plus.

  • Must be able to lift 50 + lbs

  • Additional tasks as needed and assigned

Salary: 45,000 + DOE
